Terms & Conditions.

4. Wedding Payment & RAW Data Handover

• For wedding assignments, the remaining balance must be cleared by the end of the wedding coverage.
• Once full payment has been received and cleared, the RAW photographs and footage will be handed over to the client at the end of the wedding.
• The client is required to provide a compatible SSD or other suitable storage device with sufficient capacity for the complete data transfer.
• The required storage capacity may vary depending on the duration, number of events, number of cameras, and overall scale of the wedding.
• The client is responsible for maintaining appropriate backups after receiving the RAW data and final deliverables.

5. Wedding Event Schedule & Client Cooperation

• The client is responsible for providing the final event schedule, venue details, important ceremonies, and any significant changes to the schedule in a timely manner.
• We will make every reasonable effort to capture important moments; however, we cannot guarantee coverage of moments missed due to delays, sudden schedule changes, restricted access, lack of prior information, venue restrictions, interference from guests or other vendors, or circumstances beyond our reasonable control.
• Any significant extension of coverage beyond the agreed event schedule or package scope may be subject to additional charges.

Couple & Portrait Sessions

• The client is required to allocate a minimum of 30-45 minutes for dedicated couple and portrait sessions during each major event, wherever applicable.
• The quality, variety, and quantity of portraits depend on the time allocated, the couple's readiness, venue access, available lighting, and the overall event schedule.
• We cannot guarantee specific portraits if the allocated time is reduced, delayed, or missed due to makeup, styling, ceremonies, late arrivals, venue restrictions, or other circumstances.

6. Wedding Deliverables & Delivery Timeline

• All final wedding deliverables will be provided according to the agreed package and workflow.
• Edited photographs will generally be delivered within 15-30 days from the date we receive the complete photo selection from the client, wherever client selection is applicable.
• Where the client permits Galaxies Photography and Film Productions to make the selection, the delivery timeline will begin once the selection process has been completed.
• Delivery timelines begin only after all required selections, information, music preferences, approvals, and other necessary inputs have been received.
• Any delay in providing selections, music, feedback, approvals, or other required information may result in a corresponding extension of the delivery timeline.
• The exact deliverables and delivery timelines applicable to each wedding will be those specified in the agreed quotation.

7. Wedding Editing & Revisions

• All wedding photographs and videos are edited in our established signature style and creative approach.
• By booking our services, the client acknowledges and accepts our existing style of photography, colour grading, editing, retouching, and visual storytelling.
• We welcome reasonable preferences regarding music choices, overall mood, and storytelling references.
• Video revision requests should be communicated clearly and preferably provided as one consolidated list to ensure an efficient revision process.
• Creative differences or preferences that fall outside our established editing style may not necessarily be incorporated.

8. Wedding Team & Personnel

• The number of photographers, videographers, cinematographers, and other team members assigned to the wedding will be as specified in the agreed package.
• While we aim to maintain the planned team, individual photographers, videographers, or crew members may be substituted when reasonably necessary due to illness, emergencies, scheduling requirements, or other operational circumstances.
• Any replacement will be selected with the intention of maintaining the quality and scope of the agreed services.

9. Wedding Travel, Accommodation & Logistics

• Unless specifically mentioned otherwise in the quotation, package fees do not include travel, flights, trains, visas, local transportation, accommodation, or other travel-related expenses for our team.
• All such arrangements and associated expenses shall be borne and arranged by the client in advance.
• For destination or outstation weddings, accommodation for the team should be arranged at the same property as the wedding venue wherever reasonably possible. This helps the team remain organised, avoid unnecessary travel delays, and ensure timely coverage of scheduled events.
• Where flights or other non-cancellable and non-transferable travel arrangements have been booked by the client for specifically assigned photographers or videographers, and we subsequently change the assigned personnel for operational reasons, any additional travel costs arising solely because of that personnel change shall be borne by Galaxies Photography and Film Productions.

10. Meals & Refreshments

The client is requested to arrange appropriate meals, drinking water, and reasonable refreshments for the photography and videography team at the event venue during the coverage period. This enables the team to remain on-site and continue coverage efficiently during long wedding events.

11. Wedding Venue & Third-Party Restrictions

• We shall not be held responsible for limitations or missed coverage resulting from restrictions imposed by venues, event planners, security personnel, religious authorities, government authorities, decorators, other vendors, or any other third party.
• The client is responsible for obtaining any permissions or approvals required for photography, videography, drone operations, or access to restricted areas unless otherwise agreed in writing.

12. Pre-Wedding & Couple Shoot Payment

• For pre-wedding, couple, proposal, editorial, and similar shoot assignments, the remaining balance shall be payable according to the payment terms specified in the quotation and must generally be cleared on the day of the shoot.
• RAW photographs will be shared only after the full payment has been received and cleared.

13. Pre-Wedding & Shoot Workflow

For shoots where RAW files are provided for client selection, the workflow will generally be:

• RAW photographs will be shared after the shoot once full payment has been received.
• The client may select photographs according to the number of edited photographs included in the chosen package.
• Edited photographs will be delivered within 2 weeks of receiving the complete selection, unless a different timeline is specified in the quotation.
• Edited video will generally be delivered within 5-6 weeks from receiving the client's music preference, unless otherwise specified in the quotation.
• Delays in providing selections, music preferences, feedback, or other required information may extend the delivery timeline.

14. Location Permissions & Permits

• The client is responsible for obtaining and paying for any required shooting permissions, location entry fees, permits, or other location-related charges unless specifically included in the quotation.
• We may assist the client in arranging or coordinating such permissions where possible; however, the final responsibility for obtaining and paying for the required permissions remains with the client.
• Permission fees quoted or communicated at the time of booking are based on the rates applicable at that time and may change by the date of the shoot. Any increase in such fees shall be borne by the client.
• If a location is unexpectedly crowded, closed, restricted, under construction, affected by weather, or otherwise impacted by circumstances beyond our control, we will make reasonable efforts to adapt the shoot creatively. Such circumstances will not automatically entitle the client to a reduction or refund of the agreed package price.

15. Pre-Wedding Shoot Timing & Coverage

• The client is responsible for arriving at the agreed location and being ready at the scheduled shoot time.
• Delays caused by the client, makeup, styling, transportation, location access, permits, or other factors may reduce the available shooting time.
• Any additional shooting time requested beyond the agreed package or scheduled coverage may be subject to additional charges.

16. Data Storage & Archival

• For assignments where RAW files are provided for selection, RAW files will be retained for a limited period after the final edited photographs have been delivered to accommodate any agreed revisions or changes.
• Once the editing and revision process has been completed, RAW data may be permanently deleted.
• Final edited files may be retained for a limited period after delivery; however, permanent archival of client data is not guaranteed.
• The client is strongly encouraged to download and securely back up all RAW data and final deliverables immediately after they are provided.

17. AI-Powered Guest Photo Sharing

• Final edited photographs may be delivered through an online gallery platform featuring AI-powered face recognition.
• Where supported by the delivery platform, guests may be able to search for their photographs by uploading a selfie.
• The availability, accuracy, functionality, and continued operation of such features depend on the third-party platform used for delivery and are outside our direct control.

18. Force Majeure & Unforeseen Circumstances

• We shall not be held liable for delays, interruptions, limitations, or inability to perform services caused by circumstances beyond our reasonable control, including but not limited to natural disasters, extreme weather, government restrictions, transportation disruptions, strikes, civil disturbances, venue closures, accidents, illness, or other unavoidable events.
• In such circumstances, both parties will make reasonable efforts to find a practical solution, including rescheduling where possible.

19. Portfolio & Promotional Usage

• Unless otherwise agreed in writing before the assignment, the client grants Galaxies Photography and Film Productions permission to use selected photographs and video excerpts from the assignment for portfolio, website, exhibitions, awards, publications, advertising, and other promotional purposes.
• Any specific privacy, confidentiality, or non-publication requirements must be communicated and mutually agreed upon in writing before the wedding or shoot.

20. Acceptance of Terms

• Payment of the booking amount confirms that the client has reviewed and accepted the quotation, selected package, deliverables, payment terms, workflow, and these Terms & Conditions.
• Any changes to the agreed scope of work, deliverables, dates, coverage, or services must be mutually confirmed in writing and may be subject to additional charges.
• In the event of any conflict between these Terms & Conditions and the agreed quotation, the specific terms stated in the quotation for the relevant assignment shall prevail to the extent of that conflict.
